Who is responsible for your data

MatCount is published and operated by MLJ, SASU, whose full identification appears in the legal notice. MLJ, SASU is the data controller for the information described on this page. The publication director, Jimenez Julien, is the person who reads and answers privacy requests, at jimenezjulien42@gmail.com. There is no third party marketing department involved, and no data broker sits between you and us.

What the request form collects

This website has one form, the request form in the contact section of the home page. When you submit it, the following named fields are transmitted to us: name, email, company, role, request, size, message and consent. Two hidden fields are also transmitted: form-name, which routes the submission, and subject, which labels the resulting notification. A honeypot field named bot-field exists to trap automated spam and is expected to stay empty. Along with those fields, our forms provider records the date and time of the submission and the IP address the request came from, which is standard anti abuse practice.

We ask for the studio name, your role and the size of your teaching roster because they change the answer we give you. A single room studio with six teachers and a two location operator sharing a pool of twenty four teachers need different conversations, and we would rather prepare properly than ask you the same questions twice on a call.

Why we process it, and on what legal basis

We process this information for one purpose: to reply to your request and, if it goes further, to arrange and run a walkthrough of MatCount using your own schedule. Under the European General Data Protection Regulation, the legal basis is your consent, given by ticking the consent box on the form, together with our legitimate interest in responding to a business enquiry addressed to us. We do not use what you send to build a marketing list, we do not enrich it with data bought elsewhere, and we do not profile you. You will not receive a newsletter because you asked for a demo.

Who processes and stores submissions

Form submissions are processed and stored by Netlify Forms, a service of Netlify, Inc., 512 2nd Street, Suite 200, San Francisco, CA 94107, United States, which also hosts this website. A copy of each submission is emailed to the publisher and stored in the publisher's email account. No other processor receives your submission. We do not sell personal information, we do not share it with advertisers, and we do not disclose it except where a law or a valid legal process requires it.

Cookies and measurement

This website sets no advertising cookies and runs no third party analytics scripts. There is no tracking pixel, no remarketing tag, no session recorder and no social media widget that reports your visit back to a platform. The only JavaScript on these pages is a single file we wrote ourselves, which handles the menu, the accordion and form validation, and which stores nothing about you. Netlify keeps standard server access logs for security and abuse prevention.

How long we keep things

Form submissions are kept for twenty four months from the date you send them, so that we can find the thread if you come back to us a season or two later. After that period they are deleted from the Netlify Forms store and from the publisher's mailbox. If you ask us to delete your submission sooner, we do it within thirty days and confirm it in writing. Records that we are legally required to keep, such as invoices once you become a customer, follow their own statutory retention periods and are covered by the customer agreement rather than by this page.

Studio and teacher data inside the product

This policy covers the website. If your studio uses the MatCount application, the schedule, teacher records, availability and pay data you put into it belong to your studio, and your studio decides who may see them. We process that data on your instructions in order to run the service, we store it on encrypted servers in the United States, and we export it back to you in CSV format whenever you ask. Teachers on a roster see only their own classes, their own availability and their own pay history.

International transfers

MLJ, SASU is established in France and our hosting and forms provider is established in the United States, so information you send through this form is transferred to and stored in the United States. Those transfers rely on the European Commission standard contractual clauses included in the provider's data processing agreement, together with the technical measures the provider applies, including encryption in transit and at rest.

Your rights

If you are in the European Union or the United Kingdom, you have the right to access the personal data we hold about you, to have it corrected, to have it erased, to restrict or object to its processing, to withdraw consent at any time, and to receive your data in a portable format. You also have the right to complain to your national supervisory authority, which in France is the CNIL.

If you are a resident of California, Colorado, Connecticut, Utah or Virginia, you have the right to know what personal information we have collected about you, to obtain a copy of it, to have it corrected, to have it deleted, and to opt out of the sale or sharing of personal information and of targeted advertising. We do not sell or share personal information and we do not run targeted advertising, so there is nothing to opt out of, but the request will be honored and answered in writing. California residents may also designate an authorized agent to make a request on their behalf, and we will not treat anyone differently for exercising a privacy right.

How to exercise a right

Write to jimenezjulien42@gmail.com with the email address you used on the form and a short description of what you want done. We answer within thirty days, and usually within two business days. If we need to verify your identity before acting, we will ask only for what is strictly necessary to match your request to a submission we hold.

Children

MatCount is a business tool sold to studio operators. This website is not directed to children, and we do not knowingly collect personal information from anyone under sixteen years of age. If you believe a child has sent us information through the form, write to the address above and we will delete it promptly.

Security

Traffic to this site is served over HTTPS. Access to form submissions is limited to the publication director and protected by two factor authentication. We apply the security headers published with this site, keep dependencies to a minimum, and review access to the mailbox and the forms store on a regular basis.

Changes to this policy

If this policy changes we update the date at the top of this page and describe what changed. A material change to how we use information already collected would be notified by email to the address you gave us before the change takes effect.
