The sub coverage policy template for yoga studios
A one page policy you fill in with your own windows, claim order and pay rules, so nobody has to negotiate coverage at ten at night.
Most studios have a coverage policy in their head and nowhere else. It works until the night the head is asleep, and then a class gets claimed twice, or not at all, and somebody teaches for free because nobody wrote down what a late cover is worth.
This template is the written version. Fill in the blanks marked in each line, run it past two teachers who have been on your roster longest, then send it to everyone with the next schedule. It reads in three minutes and settles most of the arguments that used to happen in a group chat.

How to use it
Work through it in one sitting with your grid open in front of you. Every blank has an answer you already use in practice, and writing it down is mostly an act of remembering what you have been deciding case by case for the last year.
Then test it against the worst night you had this quarter. The 5:45am teacher who is sick at 11pm, the double claim, the class cancelled for two students. If your filled in policy answers all three without you being awake, it is finished.

Questions about this document
Is this legal advice?
No. It is a working studio policy, not a legal document. If your teachers are treated as independent contractors, have your attorney read it against your state test, because a policy that dictates too much can pull against contractor status.
How do I get teachers to actually follow it?
Write it with two of your longest serving teachers and their names on the acknowledgment list. A policy that arrives from the roster rather than at the roster gets followed. Then apply it identically, including to yourself.
What if I have two locations?
Keep one policy and one set of pay rules, but list claim order separately for each location. Teachers who work both sites should be marked as such so they see requests from either room.
After the policy is filled in
A written coverage policy tells your roster what happens when a class opens at ten at night, who may claim it and what a late cover pays. Something still has to send that request to the teachers approved for the style, hold the first claim and carry it into the pay run.
